Copying Content From Microsoft Word

Copy/Pasting From Word

When copying content from Microsoft Word to the community web editor it is recommended that you paste the text using the "Paste from Word" button (Paste from Word button). Using this paste method will cause a lot of the extra formatting codes (most unnecessary) to be removed from your text so that the web version will be much simpler to view.
If you have already pasted text from Word you can also use the "Format Stripper" tool (Format Stripper Tool button) to remove Microsoft Word Formatting.

After this cleanup is complete you may then need to correct a few formatting issues due to these formatting codes being removed, but in the end you will have a much cleaner web page allowing easier browsing by all.

Furthermore, you may want to consider removing custom font formatting tags that Microsoft Word may have created so that the web content of your page is set up to be more dynamic and flexible to the COCC style guidelines as well as the preferences of any users viewing the page. To do this again use the "Paste from Word cleaning Font and Sizes" button (Paste from Word button) or the "Font Tags" option on the "Format Stripper" tool. As before you will need to reformat some areas of your page, but removing these font tags will surely cleanup a lot of unnecessary code and help to make the text on your page more flexible to how some web users may wish to view your page.

IMPORTANT: This cleanup of content copied from Word is not required. If you will be continuing to update the content in Microsoft Word and then copy the information to the web only when necessary, this cleanup may not be appropriate as you would have to repeat the work every time you recopy the information. However, this cleanup is highly recommended if you are going to be maintaining the content within the web editor instead of using the previous Microsoft Word document.

Accessibility

In addition to removing unnecessary formatting codes, it is important that your Word document follow many of the guidelines discussed previously regarding paragraph styles, alt tags, etc. Otherwise after pasting your document for use on the web you will want to go back and make these changes. A detailed guide for creating accessible Word documents is available here.
